In-product feedback surveys

What the dismissible usability survey card is, why it only appears when product analytics is on, and what (little) it records.

Signed-in users sometimes see a small feedback card on their home page asking how easy the product was to use. This page explains what it is, when it appears, and what it records — because the honest answer is "very little, and nothing that identifies you."

What it asks

The card shows one of two standard usability instruments:

  • A single ease question (SEQ): "Overall, how easy was it to get what you needed done?" on a 1–7 scale. This is the default — one tap and you are done.
  • Occasionally, the 10-item System Usability Scale (SUS), a long-standing industry questionnaire, on a 1–5 agree/disagree scale.

You can always dismiss the card with Not now or the ✕. Dismissing it is not held against you — it simply defers the next prompt.

When it appears

The card only ever appears when two things are true:

  1. Your tenant administrator has turned on the Product analytics option (the product_analytics setting). It is off by default — until an admin opts in, no card is ever shown and no feedback is collected. See Why regulatory toggles are sticky for how settings like this work (this one, unlike regulatory toggles, is freely reversible).
  2. You have not answered the same instrument recently. Each instrument has a cooldown (a week for the single question, a quarter for the full SUS), so the product never nags.

What it records

This is the important part. The survey is anonymous and aggregate:

  • Your individual answers to each question are scored in the moment and then discarded — they are never stored against your account.
  • What we keep is a coarse band (e.g. "easy" / "neutral" / "difficult") and an aggregate score, tagged only with your role (e.g. "service desk agent") — never your name, email, or any identifier.
  • Nothing from the survey ever enters the audit log or any record tied to you.

It is the same privacy posture as the rest of product analytics: EU-resident, free of personal data, and there only to tell the product team where the product gets in people's way.

Turning it off

A tenant administrator turns the whole thing off by switching Product analytics off in settings. That immediately stops every prompt and all collection for the tenant.
