People and self-service

The people directory, org structure and projects, your profile and assets, search, notifications, personal settings and approvals.

The people and self-service features answer the "who do I ask" question and give every employee a view of their own data: profile, assigned assets, notifications and settings.

People, org structure and projects

People (/portal/people, flag tenant_directory) lets you:

  • find colleagues by name, team, location or expertise, as a table or cards;
  • browse the Org structure;
  • open profiles with Contact, Reporting line, Expertise and what the person owns (services and systems).

What you see depends on two company decisions:

  • Published fields. Only fields the administrator has published leave the server. Importing people from the company directory publishes nothing.
  • Visibility scope. Everyone in the tenant, same department only, or same location only.

The directory cannot be switched on until the works-council acknowledgement is recorded. If the directory shows as unavailable, your company has not switched it on yet. For how imported people become visible, see Directory Sync — ingest is not publish.

A user deactivated in the company directory loses access and disappears from the published directory.

Projects

The Projects portfolio (flag portal_projects) shows company projects with owner, status and next milestone. Drafts and archived projects are never shown to employees. How projects are created, published and targeted is described in Employee project portfolio.

Publications library

The publications library under People lists document types such as policies and playbooks, with owners and review dates. See Communication.

My profile and My assets

Under You (/portal/me):

  • My profile shows your details as colleagues and IT see them, with Edit in settings for fields you maintain yourself.
  • My assets lists your Devices, Services and Software licences, from the CMDB and licence management.

From an asset you can Report issue or Request service, with the asset already filled in. Request service offers only services that apply to that kind of asset. Under Need help with something you own? you can also Search the knowledge base first.

Search the company (/portal/search) searches everything you are allowed to see in one place and groups results into Knowledge, Services, People, Company updates, Events, Quick links and My requests.

Your search text is never stored in analytics. Usage events contain no search text and no names of people you looked up, and analytics (flag product_analytics) is opt-in per company and anonymous.

Notifications and personal settings

You receive in-app and email notifications about your issues, requests, announcements and assets.

Under your account settings you choose:

  • Notifications: channels, categories, quiet hours and digest frequency. The Compliance category is always on, so mandatory policies always reach you.
  • Language & region: UI language (English or German), notification language, time zone, number and date formats.
  • Accessibility: reduce motion, high contrast, always show focus ring, larger font.

Your settings apply to your account on every device and override the company defaults. See Personal settings and Notifications for the full settings reference.

Download your personal data

With the flag gdpr_enhanced_data_export switched on, you can download your personal data as a JSON file from Privacy & data export in your account settings. Data held shows which categories of personal data are stored. Secrets such as token values are never exported, only their metadata.

If you see "Data export is not enabled for this tenant", contact your administrator or data protection officer.

Approvals for managers

Request types can require approval by a manager, a service owner or an administrator. Approvers decide:

  • in the request detail in the IT workspace, with Approve or Reject and an optional comment; or
  • directly from an approval card in Slack or Microsoft Teams (flag chat_inline_approvals).

Before an absence, approvers can delegate their approvals for a limited time (flag approval_delegation for delegation beyond single change seats). Nobody can approve their own request, also not through a delegation.

Notifications link approvers to the request.

Planned — not yet available. Deciding approvals inside the employee portal, and showing pending approvals in For you and My activity alongside acknowledgements. Today approvers work in the IT workspace or on a chat approval card.
